Smart Platform + Workflow

Smart Platform’s Workflow Module is an online approval process with flexible design options and rich applications, greatly increasing work efficiency in enterprises. When the Workflow module is added onto different products on Smart Platform, there are different applications:

1. Smart eBuilder- Form with approval process: When a form is submitted, it will be sent to related personnel for approval and emails can automatically be sent to people related to this process.
2. Smart Query- Report with approval process/anomalies management: Smart Query, when used along with the Scheduling Module, can help send reports to related personnel for approval. The sending time could be either set at a “regular time” or can be sent “when certain data on the report is alarming”. All approval processes are recorded.
3. Smart eVision- Assign and follow tasks from Dashboards: When viewing the Cockpit dashboards during a meeting and a problem pops up, you can make remarks on the dashboard and directly create tasks and have related personnel follow up on the problem.

Basic Approvals

Approval process with auto-email

Basic approval processes can create “serial approval”, “parallel approval”, and send “notifications”. Notifications can notify related people without them having to go through approval procedures. The approver field could be assigned to individuals, groups, managers, substitute approvers or a data field. Approval options include: approve, reject, recall, and abort. If needed, emails can automatically be sent to the sender, approver, receiver...etc.

Dynamic Approvals

Add details to your flow with dynamic parallel approvals, multi-level approvals, or add approvers dynamically.

Aside from basic approval processes, more complicated workflow designs are also available, such as dynamic parallel approvals and multi-level approvals.
● For dynamic parallel approvals, you can set the number of people needed for a certain stage of approval before passing onto the next stage.
● For dynamic multi-level approvals, you can set how many levels of managers the process has to go through depending on certain parameters.
Moreover, approvers can also add other approvers by himself when needed. For example, when the director wishes to ask for the manager’s approval before or after he signs it, he can add another manager into the process.

Track Workflow History Anytime


Everyone included in the workflow can view their own history, which is sorted into categories such as pending, overdue, notifications, and completed tasks, making it easy to go back and examine each stage. There are 2 view perspectives to workflows on Smart Platform:
● Workflow Diagram: Get a complete view of the entire workflow process.
● Workflow History List: View details of a workflow with a list that includes time received, time approved, attachments, and remarks.

Functions that Enhance Approval Process Efficiency

● Favorite remarks: Add frequently-used remarks to your favorites so that you can select it next time during approval.
● Overdue Notifications: The approval designer can overdue date to remind approvers and prevent delays in the approval process.
● Substitute Approver: Set substitute approvers for each person to prevent delays in approval. The calculation rule of overdue days can be defined according to company rules. (Ex: whether to include or exclude weekends)
● Batch Approval: Approve or reject multiple processes with just one click.

Workflow Designing As Easy and Flexible As Building Blocks


Building a flow sounds complicated. However, on Smart Platform, it becomes easy with our block-like components that can be arranged into a process by drag-and-drop. Configurations can quickly be set with drop-down menus. The interface makes it easy to understand flow designs, which will speed up maintenance in the future.
Moreover, Smart Platform also has additional building blocks to satisfy enterprise needs. For example, flow designers can add data processing actions or mobile notifications into the process.

Easy Flow Management and API Support

● Flow Management Interface: Manage on-going workflows and examine if there are flows that are delayed. If someone in the workflow leaves the company, regular accounts won’t be able to make adjustments. This is where the flow manager comes in and maintains the flow with the Management Interface.
● Flow Version: After a flow is updated, a new version of the flow model will be saved. Flows that are already on-going will continue to use the original version, whereas flows initiated after the update will run with the new version.
● Data Authorization: Different data fields will be visible and editable to different accounts according to different data permissions.
● API(POST): Open external approval page URLs with API. URLs can either be fixed URLs or dynamic URLs.
